Information collected automatically. When you visit our websites, our servers and tools may record your IP address, browser and device type, pages viewed, referring page, and the date and time of your visit. We use cookies and similar technologies for this (see Cookies and analytics below).

Email. If you email us, your message and address are stored in our email system, which is hosted by Google Workspace.

How we use and share information

We use personal information to:

  • Process registrations, payments, and donations
  • Keep campers safe, including responding to medical needs and emergencies
  • Communicate with families about sessions, schedules, and Camp news
  • Evaluate staff and volunteer applicants
  • Share photos with families and, where permitted, in Camp publications or on our website and social media
  • Maintain and secure our websites and understand how they are used

We do not sell personal information, and we do not share it for third-party advertising.

We share information only with:

  • Service providers that help us operate, such as registration software, payment processors, email and website hosting, and background check services, under terms that limit their use of the data
  • Camp staff and volunteers who need the information to care for campers
  • Medical providers and emergency services when a camper’s health or safety requires it
  • Authorities or advisors when the law requires it, to protect safety, or to enforce our rights, including our attorneys, insurers, and accreditation or licensing bodies
  • A successor organization, if the Camp merges with or transfers its programs to another nonprofit

Children’s privacy

Our websites are written for parents, guardians, staff, and supporters, not for children. We do not knowingly collect personal information directly from children under 13 through our websites. Information about campers is provided by their parents or guardians, who consent to its collection and use when they register.

If we learn that a child under 13 has submitted personal information to us directly without parental consent, we will delete it. If you believe this has happened, contact us at [email protected].

Parents and guardians may, at any time, review the information we hold about their camper, ask us to correct or delete it, and withdraw consent for photo or video use. We will not require a child to provide more information than is reasonably necessary to take part in camp activities.

Cookies, analytics, security, and retention

Cookies and analytics. Our websites use cookies and similar technologies to make pages work, remember preferences, and understand traffic. We use WordPress for aggregate statistics. Most browsers let you block or delete cookies; some site features may not work if you do. Because we do not sell or share personal information for advertising, we do not respond differently to “Do Not Track” signals, but we honor the Global Privacy Control signal where our tools support it.

Third-party links and embeds. Our sites may link to or embed services such as payment pages, maps, video, or social media. Those services have their own privacy policies, and we are not responsible for their practices.

Security. We use reasonable administrative, technical, and physical safeguards, including encrypted connections (HTTPS), access controls, and limiting records to staff who need them. No system is completely secure, so we cannot guarantee absolute security.

Retention. We keep camper records for three years after their last year of attendance  to meet licensing, insurance, and legal needs, then delete or de-identify them. Health forms are kept one year after the camper’s last session. Staff applications are kept for three years. Donation records are kept as required for tax purposes. Email subscribers stay on our list until they unsubscribe.

Your rights, changes, and contact

Your choices. You may ask us to tell you what personal information we hold about you or your camper, correct it, or delete it, and you may unsubscribe from emails at any time using the link in any message. We may need to keep some records where the law or camper safety requires it, and we will tell you if so.

California residents. California law gives residents rights to know what personal information a business collects and discloses, to request deletion and correction, and not to be discriminated against for exercising these rights. We do not sell or share personal information as those terms are defined under California law. To make a request, contact us using the details below. We may need to verify your identity, and a parent or guardian may make requests on behalf of a minor camper.

Changes to this policy. We may update this policy from time to time. The “Last updated” date at the top shows when it last changed, and material changes will be posted on our websites.
